Terms of Service

1. The Service

Smart Invoice Extractor ("the Service") is a web-based tool that automatically extracts data from ZRA Smart Invoices, reconciles ERP records, and calculates VAT. The service is operated by Ason Mwila, Zambia.

2. Your Account

• You must provide accurate information when creating your account
• You are responsible for maintaining the security of your password
• You must be at least 18 years old to use this service
• One person or entity per account — you may not share your login
• You are responsible for all activity that occurs under your account

3. Free Trial

New accounts receive a 14-day free trial with 10 invoice extractions. After the trial period, you must subscribe to a paid plan to continue using the service. We reserve the right to modify trial terms at any time.

4. Subscriptions & Payments

• Subscriptions are billed monthly in Zambian Kwacha (ZMW)
• Payments are processed via Lenco by BroadPay
• Plans renew monthly — you must pay each month to maintain access
• Invoice limits reset on the 1st of each calendar month
• We reserve the right to change pricing with 30 days notice

5. Refund Policy

We do not offer automatic refunds. If you experience a technical issue that prevents you from using the service, contact us within 7 days and we will review your case. Refunds are issued at our discretion.

6. Acceptable Use

You agree NOT to:

• Use the service for any illegal purpose under Zambian law
• Upload files containing malware or malicious content
• Attempt to reverse engineer or copy the service
• Share your account credentials with others
• Use the service to process invoices on behalf of others without authorisation
• Attempt to circumvent usage limits or security measures

7. Your Data & Invoice Files

You retain full ownership of all invoice files you upload. We process them solely to provide the extraction service and delete them immediately after processing. We do not claim any rights over your invoice data.

8. Accuracy Disclaimer

While our OCR engine achieves high accuracy, we cannot guarantee 100% accuracy on all invoices. You are responsible for reviewing extracted data before using it for tax submissions or financial records. Always verify critical figures before submitting to ZRA.

9. Service Availability

We aim for high availability but do not guarantee uninterrupted service. We may perform maintenance, updates or experience outages. We are not liable for any losses resulting from service downtime.

10. Limitation of Liability

Smart Invoice Extractor shall not be liable for any indirect, incidental or consequential damages arising from your use of the service, including but not limited to tax penalties resulting from data extraction errors. Your use of the service is at your own risk.

11. Termination

We reserve the right to suspend or terminate accounts that violate these terms, engage in fraudulent activity, or abuse the service. You may cancel your account at any time by contacting support.

12. Governing Law

These terms are governed by the laws of the Republic of Zambia. Any disputes shall be resolved in the courts of Zambia.

13. Changes to Terms

We may update these terms from time to time. We will notify you by email of significant changes. Continued use of the service after changes constitutes acceptance of the new terms.
