1. Who We Are

Smart Invoice Extractor is a ZRA Smart Invoice data extraction and compliance tool built and operated by Ason Mwila, based in Zambia. You can reach us at support@invoiceextractor.cloud.

2. What Data We Collect

When you create an account we collect:

• Your full name and email address
• Your phone number and company name (optional)
• Your password (stored as a secure hash — we cannot read it)
• Your subscription plan and payment history
• Your monthly invoice processing usage count

When you process invoices we collect:

• The files you upload (PDFs and images) — these are processed and immediately deleted from our server after extraction
• We do NOT permanently store any invoice content or extracted data

3. How We Use Your Data

• To provide and operate the service
• To send you account and subscription related emails
• To track your monthly usage against your plan limits
• To process and verify your payments
• To improve the service over time

4. Invoice Files & Data Security

Your invoice files are treated with the highest level of care:

• Files are uploaded over HTTPS (encrypted in transit)
• Files are processed by our OCR engine and immediately deleted
• No invoice content is stored on our servers permanently
• Extracted data is only sent back to your browser — we do not store it

5. Payment Information

Payments are processed by Lenco by BroadPay. We do not store your card or mobile money details on our servers. We only store payment references, amounts and statuses for our records.

6. Sharing Your Data

We do not sell, rent or share your personal data with third parties except:

• Lenco by BroadPay — for payment processing
• Zoho Mail — for sending you emails
• As required by Zambian law

7. Data Retention

We retain your account data for as long as your account is active. If you delete your account, your personal data will be removed within 30 days. Invoice files are deleted immediately after processing.

8. Your Rights

• Access the data we hold about you
• Request correction of inaccurate data
• Request deletion of your account and data
• Opt out of marketing emails at any time

9. Cookies

We use only essential session cookies to keep you logged in. We do not use tracking cookies or third-party advertising cookies.

10. Changes to This Policy

We may update this policy from time to time. We will notify you of significant changes by email. Continued use of the service after changes constitutes acceptance.
